Conferences for Undergraduate Women and Gender Minorities in Physics

Find mentors, explore education and career opportunities and network with and learn from fellow students who are women, gender diverse individuals and underrepresented identities in physics.

If you are an undergraduate student in physics, engineering, or science department, we encourage you to attend Conferences for Undergraduate Women and Gender Minorities in Physics, particularly if you identify as a woman or gender minority. Community college students, first-generation college students, or students with historically marginalized identities are especially welcomed at our conferences.

Who should attend

These conferences encourage applications from undergraduate physics majors. We specifically encourage applications from:

  • Women and/or gender minorities
  • Students who would like to present research at the conferences
  • Community college students
  • Students who have not attended previously

Depending on availability of attendance slots, we may also prioritize physics and engineering physics majors.

Canadian applicants may apply to attend the conference site in Canada, and other applicants living outside the United States may attend the Gender Inclusive Community virtual events.

Unfortunately, high school students and students under 18 years old are unable to attend these conferences.

All attendees must comply with the APS code of conduct and COVID-19 guidelines.

How to apply and register

You will need an APS account to apply to attend. If you don't already have an one, you can create an APS account before applying.

If accepted, you will be assigned to a conference site to minimize travel and balance attendees. If you are not already an APS member, you will receive a complimentary student membership unless you opt-out.

Registration fees

The registration fee is $45.

After applying to attend a conference, applicants will be accepted or declined. After you have been accepted, you will need to register to confirm your attendance. The registration fee helps to offset some conference costs, including lodging and meals.

If your academic department will pay the registration fee on your behalf, please contact the APS team before you register.

To request a fee waiver, please email the APS team for the waiver application.

Cancellations

The deadline to cancel registration and receive a refund is Friday, December 13, 2024.

Travel and funding assistance

Attendees are responsible for arranging their own travel. We encourage you to reach out to your assigned conference site for more information about travel and lodging, including coordinating travel with other attendees.

Your academic department may be able to provide assistance with travel costs. If your department cannot fund your travel, please contact your assigned conference site to discuss travel assistance.

Presenting at a conference

Students presenting a poster at a conference should contact their conference site location for guidelines and details.

The conferences have no dress code, and we encourage students to be comfortable, as well as prepared for possible weather conditions. Students who are presenting at the conference may wish to dress professionally.

An inclusive and welcoming environment

In line with conferences' goal of supporting women and gender minorities to advance their education and careers in physics, we take special consideration to ensure our events are welcoming and accessible.

Dietary restrictions and disabilities

You can inform us of any dietary restrictions or disability accommodations during the registration process. If you have additional questions or concerns, please contact the conference site organizers directly.

Childcare

Attendees with childcare questions and needs should contact the conference site organizers directly.

Gender minority students

We welcome students of all genders and gender identities to attend the conferences. Trans, nonbinary, and gender-nonconforming students with other housing concerns should contact the APS team.
